Band Booster Minutes/Updates

Meeting began 6:08pm
 
In attendance: Curt & Tina Veselka, Libbie Veselka,  Sandy Brown, Amy Roessler,  Jennifer Gerik,  Becky Enders and Mr. Dorsey.
 
Mr. Dorsey read minutes from last meeting.  Curt motioned to accept, Sandy 2nd.
 
Becky read Band Fiesta report and financials.  Profits:
 
February 2022 - $14,200 - 162 tickets in hopper.
June 2021- $8,000 - 140 tickets in hopper.
1st year - $13,000
 
Do's & Don'ts for future Fiesta's:
 
We served 181 plates there & 20 to go. 
 
Beer -- Same amount.
Sour cream -- was ok amt, just not gotten out of fridge.
Besns -- Amount cooked was good, 16lbs were bought. 
Cheese dip -- was good, bought 3 cans, had about 1/2 can left over.
Margarita machine -- went over well, but I believe we had extra liquor left over...?? Not sure. 
 
Tea -- We had one extra canister.
Rice -- can be cut back, cooked for 200 people,  maybe cut back to 100-150.
Chips -- need to cut back, cut back to 6 boxes. 
 
Tortillas -- bought 330, need to buy more, we ran out. 
Bell pepper & onion -- Ran out, buy 2x as much. 
 
Do not buy table cover, we have plenty in storage for next year. Tina has an inventory of decorations and wrote what's in totes in storage.  
 
Jennifer mentioned something they do at other fundraisers is hold a few, maybe 5, tickets back and auction them throughout the night for people who've been drawn out already. 
 
Curt mentioned that True Value had a hand gun with pink or purple on it and we can possibly buy one for the women next year for a gun raffle. 
 
Becky said we had 300 desserts & that was good.  
 
How we used large 'extra' board was fine, per Darren Sinkule, what we did is exactly what they have done at all other fundraisers he's been involved with, Mr. Dorsey said we will do the same next year with the 'extra' board.   
 
Curt suggested instead of Boone's Farm as gifts, put envelopes on the cactus with gift cards,  money, lottery tickets (or a prize), etc. and let every 10th ticket person pick from there vs getting a bottle of Boone's........
 
Sweep up beads next year.... immediately after bead game. 
 
Becky suggested next year we assign a person to each area, and they take care & keep track of it all the way to the end of said event/game. 
 
Cost of beads and piñata tickets were $5 each.  50/50 needs to be just $1/ticket.....no 6 for $5. Hard to keep up with....and 50/50 needs it's own table with someone to work it.  
 
Jennifer asked for info from everyone so she can put together a binder for future Fiestas. 
 
We have boats left over that can be used for end of year band activities,  etc. 
 
We also have red & black table cover for banquet and red/black/white crepe paper.
 
Amy R. motioned to accept Becky's treasurer report, Curt V. 2nd it. 
 
Libbie V. mentioned putting a Thank You in the West News, Becky will call.  This will be in addition to the mailed Thank You notes.  Sandy, Jennifer and Amy offered to split the list and write Thank You notes.....Becky will make a list and divide into 3 and hand out.  After everyone sends Becky who they got to donate what.....items, tickets,  etc.  And we need to post a Thank You on Facebook.  
 
For future events,  Karen said KC Hall is requiring a deposit.  They don't charge us, but it will go towards our bill in the end. 
 
Band Banquet is May 7th at the school.  Meal in cafeteria,  awards and slide show in auditorium.  Mr. Dorsey suggested future banquets be at school,  he feels easier to see and hear.   
 
We will wait until after this year's banquet to see and then book place.  We talked about does the school provide desserts if they cook the meal?? Mr. Dorsey will talk with Kathy Gerik about the specifics.  
 
We will meet at 12noon on Sat. May 7th to decorate the school for the banquet.  
 
Coupon book fundraisers: 1 of 5 boxes came in, waiting on rest. Becky will keep track of each student and let them have the opportunity to raise $$ for the Disney trip in 2023. The coupon book guy is mailing a letter to Jennifer & order form to hand out w books, to students. Mr. Dorsey agreed to allow students to sell books to go toward trip cost. We will wait until after Spring Break to hand them out. 
 
March 3rd is UIL Contest @ Groesbeck HS. They will arrive at 12, 12:50 warm up, 1:30 concert, done with sight reading by 2:30 hopefully or before and head home. 
 
March 29th is WMS contest at Midway, we will need to feed them lunch if it is an early performance.  
 
Brady Niemeyer - percussion and Courtney Coffer - tenor sax both advanced to state in solo and ensemble last weekend.  They will be recognized at Wednesday's school board meeting.   
 
April 18 & 22 are dates for WMS trips to Pinstack. They perform at the end of the day.  
 
April 26 we may have an outdoor concert like we did years ago, in front of the high school.  Band Boosters may sell drinks, snacks....??
 
Concession $$ was accidentally deposited into the Band Student Activity fund instead of Band Boosters.  Becky will call JoAnna Macik & ask what needs to be done to transfer.   Mr. Dorsey can put in request for check to Boosters.  
 
Scholarships -- 14 seniors -- Deadline is Friday,  April 1st, 2022. 
Becky can send app doc to Mr. Dorsey if needed, she will ask Elaine to type.  Mr. Dorsey will ask 1 teacher to be on selection committee.   We discussed meeting on April 4th, or a different date to select.  Possibly read on our own time and then get together.  Committee will consist of 3 band directors,  3 booster members (Jennifer,  Becky & Amy) and 1 teacher. Becky motioned to accept selection committee. 
 
Last meeting we mentioned having enough for 7 - $1,000 scholarships.  
 
 
Year to date income is $13,800......
 
Mr. Dorsey suggested another fun day this Spring for band kids similar to the pumpkin painting last Fall.  Possibly movie and popcorn.  Maybe Easter egg decorating.....
 
 
On Friday,  March 4th, Mr. Dorsey will announce the Marching show for 2022-2023 year. 
 
Winterguard may be able to perform at the outdoor concert in front of the school..

Nothing new focus will be on Band Fiesta

Secretary Report:

  • Secretary presented minutes from last meeting

  • Curt Veselka motioned to accept, Becky Enders second, all in favor

    Treasurer Report:

  • Checking Balance: $2,414.84

  • Savings Balance: $16,914.85

  • A lot of money was spent on food this year, more than previous years. This is probably due to more

    away games and a longer season. Also water was purchased this year instead of using cups and water

    jugs.

  • We also did not have strudel sales this year, so our profit/loss numbers need to be monitored.

  • Motion by Kristin Immicke to accept report. Second by Jennifer Gerik

    Director’s Report:

Directors were at band rehearsals see band newsletter for upcoming dates and news from Mr. Dorsey

New Business:

  • Rachel suggested using the board from the baseball fundraiser to track tickets at the Fiesta. She will look into this.

  • Possible coupon book fundraiser in spring

o Books would be sold for $40 and band would get $20 off each sale o Students can help sell these
o Coupons are Waco and West area businesses

Band Fiesta tickets keep selling!
o Still working on contacting the businesses from our list. Amy is taking over Kristin’s portion

of the list. Many have already agreed to donate

o Mike will be cooking the beans, rice, and nacho cheese. Becky will talk to him about what to order. He will also cook the meat.

Directors were at band rehearsals but Dorsey spoke with Jennifer Gerik about the following:
o Disney trip – the person who planned trip previously is no longer with the company. Dorsey

is waiting on a call from the new person
o Scholarships for this year’s seniors – need to set a date for applications to be due

§ Due March 25 with decisions made in April
§ Becky will check with Dorsey on scholarship forms, etc. to be distributed

New Business:

Band Fiesta tickets – keep selling!
o Veselka’s may set up to sell tickets outside of bakery one Saturday o Still working on contacting the businesses from our list

Food:
o Salsa to be made by Cassidy Bruce, will reimburse her for cost of ingredients and give a

Fiesta ticket to her as compensation. Need to check and see if we can get in to KC Hall on

Friday and what time
o Becky will call R&R processing about meat
o Last year: 8 boxes of chips (maybe 5 this year), 300 tortillas (keep same this year), 75 pints of

rice (maybe 60 this year), beans done by Mike again this year?
o 4 kegs of beer, Jennifer will look into possibility of having margaritas as well
o Need to purchase tablecloths, flower decorations, lottery tickers, liquor, candy, pinatas, pinata

stick, utemsils, plates, boats, napkins
o Veselkas will check in storage for pill bottles and beads
o Desserts to be purchased this year – Becky will organize desserts
o Ask Dorsey to send an email out about Band Fiesta that is just about the fiesta
o Becky will get an ad in the newspaper
o Curt will take care of renting projector and screen
o Ask every band student to donate a $5 gift card for the gift card tree, pinatas, etc.

November 1st Booster Meeting

*Working on stand tunes and Christmas music. 
*Dec 4th - WHS Region auditions 
*Dec 7th - WMS Region auditions 
*Basketball band discussed - practice would be 1x per week after school.  Nothing during school,  would be ______ & 1 drum...?? 
*Dec 11th - 1pm Christmas concert extravaganza, every hour...1pm, 2pm, 3pm, 430pm ish.....high school.  (Amy R. asked if the time between each concert could be shortened,  because 15min of music then 45 min wait time...)
*WMS trips....
-------symphonic band would go to Poteet High school in Mesquite then to Six Flags on Sat April 23rd. $50/kid , payment plan is set up, 1st student payment due of $20 Nov. 12th, 2nd paymt of $15 due Dec.16th, final paymt of $15 due Jan 14. 
---------6th & 7th grade band trip to Pinstack in Plano 3rd week of April, cost per student is $20.
 
Discussed student gift exchange for Christmas.  Participation optional. 
 
Mentioned concession stand sign up, need a few more for this Fri. Nov 5th.  
 
Tshirt order, 2nd one, Jennifer will check on Tues. Nov 2nd, should be ready by Fri. Nov. 5th.
 
Discussed baskets for Christmas band concerts:

Need items for basket by Dec 9th so we can put baskets together. 
 
Band Fiesta:
-check around on pricing for rice and beans, Mr. Clark mentioned him making it.....he will try some recipes and see.
-Jennifer asked Darren Sinkule if he would be tge announcer again and he said yes.
-Becky ordered tickets,  250, hope they're ready by 1st week of Nov. Price went up, about $92 this year. 
-Jennifer went door to door last year for donations,  passing out flyers and possibly selling tickets.  We will try to split it up this year.....ask Libbie Veselka,  Ms. Clark.....Jennifer,  Amy.....will all work together.  
-gun raffle, ask TruValue about guns, possibly more than one. 
-liquor prizes can be bought closer to date
-Becky handled money bags last year
-Jennifer can get decorations,  some left from last year
-Tina can get the same photo booth we had last year 
-Jennifer talked about renting projector and screen.  Curt said place is at the end of Franklin in Waco, by La Fiesta...about $150 to rent
-Ms. Clark asked when we will start selling tickets -- hope to have 1st week of Nov.
-Becky kept the list of who checked out which ticket #'s
-Discussed having a margarita machine and see who to ask if we can have one. 
-desserts- possibly asking Slovacek's and Pizza House for dessert donations.

Director’s Report:

  • Progress of band – will be working on a different entrance than was used Saturday. They have made a lot of progress this week since the last contest. UIL eligibility has left 5 holes to fill. They are working on that.
  • Upcoming dates
    • Game Thursday: Not sure what time we will get back with Dallas traffic, etc. Hoping to have the tree and everything for the halftime show
    • Contest Saturday: will run through in the morning. Will leave at 11:30 for Whitney. Boosters will provide lunch. Kids can bring money for later in the day.
    • Pumpkin carving night: everyone bring their own, maybe paint them? Possibly on Oct 22 because it’s a bye week and day before area
  • Prop pickup – Tree is here. Waiting on fabric for other props.

 

New Business:

  • Question was asked about drum majors asking their parents to help move the stands at games and who would be helping move the tree on/off the field. Dorsey said he would talk to the drum majors and the guard kids and other band kids would help with tree. We mostly need help with the front ensemble pieces.
    • Prop set up was discussed. We mainly need helpers for moving to/from warm-up and front ensemble pieces on/off field.

    • An anonymous letter sent to the Sepeda family was discussed.

 

  • T-shirt order: ordered 20 extra for Friday nights. Will place another order, sent out order forms this morning.

    • Possibly take 8th grade kids to Six Flags
    • Movie nights, etc. possibly after football season ends

 

  • Last guaranteed practice is Monday, October 11 – boosters will provide dinner
    • Chili cheese nachos served in concession stand. Kids will practice and then come eat.

  • Jennifer called KC Hall and all dates (May 6-7) for banquet are booked
    • Dorsey says we can have it here May 7 – he will book it and look into the catering situation. Might need to have school cater it. 
  • Fiesta dates Jan 15, Feb 12 & 19 are available
    • Feb 19 will be best date – Jennifer will book

Director’s Report:

  • Students need to be here at 5:15pm Sat. Aug 7 for Meet the Trojans. 
  • Students will wear khaki shorts for West Fest Parade on Sep 4. Meet at 9:00am
  • Prop tree cost: $2800 for one side, $4500 for double sided 
  • $4000 was approved last meeting
  • only other cost would be to add LED lights to digital side of tree, but we can do that ourselves, and scrims
  • Becky Enders budgeted $6000 for props
  • Becky motioned to approve $5000 total for prop tree (increased from $4000 approved last meeting). Michelle Martin second. All in favor.
  • Rehearsals are going well. Attendance fluctuated for the first few days, but has steadied out now. They’re working hard and sounding good.

July 19 Booster Meeting Minutes

Jennifer Gerik presented officers for 2021-22 and reviewed roles.

Secretary Report:

Becky Enders reviewed the May meeting notes sent over by previous secretary. Kristin reviewed notes from June meetings about Band Fiesta
Kurt moved to accept minutes. Enders second. All in favor.

Director’s Report:

  •   2021-22 calendar is on high school band website.

  •   Communication this year will be through Charms emails, website, boosters Facebook,

    remind, Instagram, Schoology, and paper copies of letter to parents. Calendar is also in

    the high school handbook.

  •   Email was sent out about prices for materials (shoes, gloves, shirt, book).

  •   Expectations for year were reviewed with band leaders today.

o Focus will be on improvement this year. More strict during rehearsal.

  •   Leadership did good this morning.

  •   Coolers for practices, etc. Students will be encouraged to bring their own water bottles,

    but we will also have iced water for them.

  •   All instruments cleaned with money from school.

  •   Prop idea: big tree - $2800 estimate, cheaper than expected so we might be able to do

    more customization

  •   Possibly build some scrims to hide color guard materials.

  •   Leadership said pizza and tender rolls would be good for meals.

  •   We should be back in stands this year.

  •   Next lock-in will be July 30-31 – chaperones needed – 2 per shift (6-9, 9-12, 12-3, 3-6)

  •   Meet the Trojans Aug 7 at 6:30pm

  •   Calendar – contest dates are not finalized until Aug 7 meeting

  •   Area will be on a Sat a week after Regional Contest (official date TBA)

  •   September contest may not happen if everything is not ready on field by then – TBA

  •   State will have prelims and finals all on Nov 3 and band will go down night before

    • As long as it’s staff, directors, and students only
    • A 10pm meal and 4:30 or 5am breakfast
    • Students usually bring their own snacks and drinks

    • Meeting: the 29th of April at 6:00 pm at the park to just discuss about scholarships

 

Band Banquet: 

  • We were informed that we can use the school and the use the KC Hall (holds around 800 people)
  • Everyone needs assign setting
  • Sitting at specific tables
  • Family groups doesn’t matter
  • Go through all the protocols 
  • In the main gym (1,000) or at the stadium
  • 50% capacity
  • Last year: $10 and Schaffer’s brother made brisket
    • Want to do the same thing?
  • Stop handing out invites on the 28th of April 
  • Maybe do both: awards inside and food outside
  • Figure out if we are going to eat or not
    • Best bet: have it at KC Hall and post a video of it
  • Starts at 6 pm on May the 8th (Saturday)

 

Band Concert:

    • Starting at 3pm and going back-to-back with concerts
